Make monday.com approval decisions with better evidence
An approval status is useful, but a defensible decision also needs ownership, deliverables, blockers, exceptions, and a record of what was reviewed.
Approval is not the same as readiness
A single approval column can tell you that someone selected a status. It may not tell you whether required work is complete, whether the right owner reviewed it, or whether a prohibited condition remains on the board. Approval is the act of accepting a decision; readiness is the evidence that makes the decision reasonable.
A monday.com approval workflow becomes clearer when the approval item is evaluated alongside the board evidence it depends on. That keeps the decision connected to the work instead of treating a status label as proof by itself.
What the approval review should establish
- Ownership: the responsible people and approver are identified and required owner fields are present.
- Deliverables: required items, groups, and fields are complete enough for the decision.
- Unresolved blockers: open issues are visible with affected-item evidence and a clear rule explaining why they matter.
- Prohibited conditions: disallowed statuses or missing prerequisites prevent a false sense of approval.
- Accountability: stakeholders can see what the decision covered and which exceptions were accepted.
Handle exceptions without hiding them
Projects sometimes proceed with a known exception. That does not make the exception disappear. A written waiver should identify what was accepted, who accepted it, and the context or follow-up that makes the decision understandable. The waiver becomes part of the approval evidence rather than an informal message that is difficult to retrieve later.
Approval snapshots and scan history help preserve the basis for a decision. When the board changes, a team can compare scans and see whether a blocker was resolved, whether a new blocker appeared, or whether the approval still reflects the current evidence.
